T&S Documentation/Responsibility

All T&S workers should be crossed trained on use of the software and the JAC box.

Great responses everyone, keep them coming. Hopefully we can add information after each event.

Also - please re-read the original post and the first page. A lot of the "rules" have changed, and many edits have been made which may be of interest.

So is this working? Are we capturing the sporadic information that I think we aren't good at remembering and writing down?

1. Please have the grid workers wear a fluorescent green safety vest.

I don't know about everyone else, but being able to SEE the grid worker is very important in understanding how long you have before needing to run. It's a cheap and easy suggestion :)

2. I think we should we have ALL course workers wear the vests ALA RBC Center.

Any increase in the visibility of course workers who have to be on a hot course is a good idea IMO. Not a "needed" improvement, but one with a tangible benefit and little cost (we have plenty of vests in the bus). It also helps separate spectators / photographers and the "real" courseworkers.

have a sign at the gate entrance with important info for late arrivals.

after the morning gate worker leaves their post, there's nothing telling spectators that they need to sign the waver, not to enter the course, pit speeds, etc.

this could be a simple 3'x4' white board that the gateworker is responsible for leaving at the gate.

Create a backup of the T&S event data periodically during the event (min. after each heat) to an external storage device, such as a floppy or USB flash drive.

Incase of catastrophic failure of the main computer, act of god, or other type of user error, you will atleast have backup you can recover on another computer, provided you have another computer to restore that data.

This brings up the question, why don't we have a working backup computer?

Please publish the AXWare "cheat sheets" online and make them available to the T&S team when you send out your pre-event scheduling email.

Jeff - do you think we could write a VBScript that automatically "watches" the results files for updates, looks for the presense of a usb drive, and makes automatic backups on a schedule (30 min?) when both are present?

I'd be worried about adding yet another thing for T&S to try to remember :) But if we made a procedure at each worker swith to prit results, back up the file, and whatever else, that might be a good trigger too :)

At the very least, we could write a simple batch file that the exiting computer T&S worker could run which would create the backup. Thoughts?

1. Place the worker check in post at the beginning of the grid area.
This will allow the workers to check in quicker since they don't have to walk all the way to the bus then to their worker station (at Laurinburg and Sandford the bus is often NOT in the path from grid/paddock to worker stations, and the checkin person does not stand out from the crowd around the bus so time is wasted trying to find said person.
2. have worker signup sheet include car # and class.
This coupled with 1. will make it easy to police who is is supposed to be in the A or B grid if an imbalance is noted. Since the check in person's job is demanding only towards the end of the run group when workers are checking in, it would not add great distraction/burden if he/she helped police grid if needed.

Mike,

I think your proposal is a good one, however you should know that i'm not a programmer and don't claim to be, so I'm sure you could script something up better than I can.

I know that axware has 2 options for backing up files.

The first option is a backup event command which seems to only save files to the same location as the source event data.

The second is the save as command which allows you to select a new location to save files, however, once you save the event data to another location, the files at the new location become the main data file. This means that all new data will be written to the backup file location not the original file. You need to do another save as to get the app to save to the original file. This is a little time consuming, especially on a slow machine and can be a little complicated if the operator is not sure where to save and open files.

I think a call to Vitek at Axware might be helpful. If we can send him your proposal, he maybe be able to offer some insight as to what the best solution is for backing up to 2 media sources.

Jeff
