from what I understand, we have a spot to hawk the club at the upcoming Tudor race at VIR. That's August 21-23. So, what are we doing to promote us? We need business cards, a banner, tent, tables, chairs and so on. Where are we at w/ setting this up and getting volunteers to help run this? A laptop running some youtube vids would help for rallyx, autox and track.

Just curious. We have a lot of irons in the fire and I'm concerned about getting this all organized. Are we getting group tickets? A parking area? I need some info please and I need to check on my availability to help out...

Ordinarily I'd be happy to help with something like this, so please keep me in mind if something like this comes up again, but I'll be in Latvia that weekend. We've got chairs, 12'x12' popups, tables, portable tabletop grill, big cooler, and all of that stuff on the Duff Beer Mobile Oppression Palace that someone could borrow for the weekend, or get Ricky to help and he can drive the whole thing over there. Then you've got an air-conditioned lounge to relax in. I've also got spare 42" and 52" flat screen TV's that you could use for video.

Soooo, can I assume we're not doing anything for the race? This is 2 weeks away. I haven't bought tickets yet since I don't know if we're doing any club promotion yet.

Zach has been leading stuff up as far as our table goes. We talked about it last week, he's got a banner he was going to get printed and a setup to show some video I believe. Ask about it at the meeting this week.

We have a 10x10 vendor space booked and I will be there all day Saturday and Sunday. I will bring the canopy for our space and am having a club banner made that we can display proudly. I will also have business cards and special first-timer discount cards to hand out to folks. Mary is getting beer coozies made with the THSCC logo which we will hand out to the first X number of people who come by our booth.

I will have a laptop connected to a large monitor to play in-car videos of THSCC events so folks can see what we're all about. If you would like your videos featured, please email me and get me the raw files (I don't want to rely on internet connection while we're there) via a thumbdrive, external hard drive, or other transfer them to me over the internet.

VOLUNTEERS!!! We would love to see a good turnout of club members to help staff the booth and talk to folks about what we do and why our events are so great. We will be providing drinks and grilling food for THSCC members in attendance (we are not selling drinks, this is very important as per our vendor contract; these are being privately provided to our members). This will be quite informal and we won't expect our booth to be manned during peak times like the race start, for example, so you'll be able to fully take in the event while still helping at the booth.

We also need someone to bring a grill to grill said food, so if you have a portable grill please let me know.

If you will be attending the event and can help out, please post in this thread or email me and let me know which days you will be there.

I did ask about a car corral and unfortunately that wasn't in the cards for this year, perhaps next year though. We were also not offered a group or discount rate either, but the prices are a decent bit cheaper than last year.

There is a portable grill in the Duff bus if you want to grab it. It's in a side compartment on the driver's side.

Okay, volunteers please sign up for the shift(s) you would like to work the booth. Note that I will need particular help setting up and breaking down the booth each day.

We will play it by ear for times during the main races since I don't think many people will be wandering the vendor booths during that time. We just need to put the TV and any valuables away (like our beer cooler) while we wander off. Also, wWe may finish up early on Sunday, just depends on how many people are still coming by on Sunday after the title race ends at 3:45pm. I don't believe this sort of thing has been done by our club before so thanks for bearing with me.
