Hey - to make sure that the Aug 1st RallyX at OCS doesn't get cancelled, what do we need to make it happen?

Can we compile a list of the things needed, and date by which they must be confirmed?

For example:
- Minimum number of attendees? (and by what date?)
- Event chairs?
- Volunteer to deliver the bus
- Volunteer to take the bus back
- Course prep/set-up volunteers? (is this morning of, or day before? And do you think the course will need lawnmower or bush-hog like last time?)

we're gonna need all of those. last i checked, we had 8 participants.

Charis are needed, so are Bus volunteers.

Unfortunately Im catching a flight after the RallyX so I wont be able to mess with the bus.

hopefully some folks can step up to chair the event.

Chris gave us a hand when we did it and it wasnt all that bad.


and chris also said that OCS is responsible for mowing the lawn? not sure though.

Charlie and Pete Guthrie are the chairs for this event.
We are going to recycle some of what they did for the March event that was cancelled. (mostly artwork)

I need to confirm with Charlie that they can still do this.

Currently there are 12 entries with 18 days to go.

The current plan for the bus is to have it waiting at Pet's Companion Inn (PCI) after this Sunday's AutoX in Sanford. The bus should be returned to PCI after the event so it will be as close as it can be for the Danville event in August. Charlie and Pete may be able to shuttle it the short distance to and from OCS from PCI.

Course setup is usually the day before. It depends on Charlie's schedule.

I will contact OCS to check on mowing.

What is the minimum required preregistered attendees, and by what date, to avoid mis-understanding like the July event?

To answer the other question
We need 25 people one week out.

If the bus needs to come from Apex to OCS on Saturday morning, then Marek and I may be able to help. I live in northwest Apex off of Hwy 751, 3 miles north of 64 (near Jordan Lake).

Let me know if that's needed (and by what time the bus needs to be at the event Saturday morning).

Or does the bus need to be delivered on Friday (in which case I can't help, because I'll be at work)?

Chris - can we have a costing discussion, to see if we could change cost structure at certain events so that we don't have to cancel them? I'd rather pay more and still get to run, than to have the event cancelled.

only 12 people so far.

kinda sad. we got 2.5 weeks. i really dont want to see another event canceled.

Chris and Ash - what do we need to do to keep the 1-Aug event from being cancelled, assuming there will not be 25 people pre-registered? Anything?

I don't know how I personally can get more attendees. I got a friend in a WRX to come to an event at Four Oaks this year, but he decided it was too rough on his car, and doesn't want to do it anymore. I got 2 demo derby guys to start attending, but one of them is a little too wide-open, and probably won't be coming back again.

If we can't get more attendees, can we price the event so that we can afford to run a few where we lose money each year, and make money to cover the losses at other events where more people show up?

Is expense even the issue, or is 25 attendees the absolute minimum needed to staff an event, work the course, etc? If that's the case, do we need to start some marketing efforts to get the attendance up?

Charlie and Pete - is there anything you need help with for the 1-Aug event? Or are you waiting to see whether we get enough attendees before you make any plans?

The expense is not the only issue, although it is obviously an important one. We need to have enough people to work the course while the other half drives.

I would certainly encourage Chris and Dustin to weigh in on this, but if we can't get at least 25 people for the event I don't think we will have enough people to safely run the event.

Pete and I are still planning to chair the event. We may have to set up on Friday afternoon late. The sun stays up pretty late in August. Is it possible for us to move the bus to OCS on Thursday so that Friday isn't so hectic?
Please PM me the name and contact information for the track and I'll check on the mowing situation.

any way to send out an invitation emial to everyone that has run before!!!! I know we have 20 now and it would suck to loose it over a low count AGAIN and I am cleared to be off work and will actually MAKE a saturday event.
