Here's what the event chairs are responsible for:
Preferably at least two weeks before the event, but not less than one week before (if it's late, I'll go ahead and photochop you into something and send it to Vincent), you design the trophy magnet, send it to the rallyx vp's, and provide any other info about the event, such as special trophies, sponsorships, or whatever else you've come up with to add something extra for the competitors.
Get the bus to the site, and get it back to its home. You can drive it, or get someone else to drive it. Whoever drives the bus gets a free entry, redeemable at that event or any future event.
Set up the course(s) the day before (or weekend before, if NCCAR) the rallyx - make it fun and safe (but if you screw it up, the rallyx vps will help you fix it). This usually involves putting some cones out, driving through them, and adjusting to get the speeds right. It's more complicated than setting up an autox course, but it's not that bad. You'll also need to change things around for the afternoon course during lunch. And you'll need to be paying attention during the event, in case you're needed (for example, a cone gets killed, the mark is gone, and the workers need to know where to put it back).
Help get everything set up inside and outside the bus, and on the course the morning of the rallyx. Involves, tables, chairs, worker stuff, marking the cones, putting safety equipment out, etc. Then help get everything back where it belongs after the event.
That's it, as far as I can remember. Rallyx vp's are responsible for the other stuff, and for helping you do your job.
