We too were planning on attending, looking forward to a no pressure test and tune for two days to try out a couple of things for next year. Can't promise to help except the day(s) of the event since it is the beginning of our heavy holiday season, but we're always willing to do anything necessary while we are there.
Just an observation: maybe the behind the scenes people need to be more willing to let others have a chance to help. We have volunteered several times, but each time was told we were not needed or were ignored when the time came...
Actually, Chuck, the "stressful" thing about having an event is not really getting the work done or getting people to volunteer to do it. Plus the fact that there needs to be at least one senior officer at the event, and most of us had other plans that weekend. The biggest things that drive the work and the effort which can't be easily delegated in my opinion are:
1. Site coordination, insurance rental, and overall logistics
2. Making the list of tasks and assigning people to them
3. Explaining to people what is necessary of a job
4. Dealing with the inevitable last-minute emergencies (people bailing, etc)
5. Safety concerns
6. Dealing with the typical issues during the event
The night events have been mostly constructed to avoid these problems but still can be stressful for the overall organizer and site coordinator.
If (still an if) the event goes, I will structure it a lot like the night events and ask all of the people who have volunteered so far in this post to do something. I am waiting because there may be plans in the works with a sponsor, a charity, and another car club who wants to run the event.
So let's just go ahead and look for a few people to do a few specific things. We aren't going to rely on any of the usual suspects. Here is a first pass at what we need. If you are capable and willing, EMAIL me directly:
Event chair (monitors the list of stuff that needs to get done)
Registrar (assume we skip online reg and ask to do by email)
Bus driver
Tech
Course design and setup
Timer setup
Timing and scoring (assume sticky-notes)
Bus packer
And some other things I can't think of right now. More later.
